Receptionist

We are looking for a dynamic Receptionist with wonderful people skills and the ability to multitask and manage multiple projects. The Receptionist will manage the general reception area, store room and handles all incoming calls. S/he provides support services to the President/CEO, Development, Human Respurces, and Accounting departments, as required.
Job Duties:

Operates telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments. Provide information about the agency such as location of departments or offices, employees within the organization, or services provided.

Performs administrative support tasks such as proofreading, and using calculators or computer programs (Excel, Word, Publisher) to work with donor records, donor database reports, and other documents. Assist in all mail campaigns from development department, including printing labels from database, stuffing and mailing brochures, promotional materials and donation requests as needed.

Greets visitors, guests and vendors, determines nature and purpose of visit, and directs them to specific destinations as needed.

Distribute incoming mail and prepare outgoing mail.

Maintain supplies in stock room, copy room and staff break room, ensuring that all is in good order.

Maintain task/repair request for all programs.

Maintain automobile mileage log for all company vehicles.
-
Transmits information or documents to customers, using computer, mail, or fax machine.

Maintains and updates calendar for conference rooms as requested.

Analyzes data to determine answers to questions from customers or members of the public.

Other duties as may be assigned
Job Requirements:

Excellent organizational, communication and interpersonal skills.

Good computer skills in MS Word, Excel, Outlook and Power Point.

Minimum HS Diploma required.

Professional demeanor and presentation a must.

Answer all incoming calls.

Maintain office supplies stock room in good order.

Maintain supplies in copy room and staff break room.

Call equipment vendors for repairs (i.e. telephone, copier, printer) when necessary.

Maintain conference room calendar for building 116.

Prepare correspondence, including donor thank you letters if needed.

Assist in all mail campaigns from development department, including printing labels from database, stuffing and mailing.

Copying projects as assigned.
